Administrator Position - Abbotsford Music Festival
The BCRMTA (Abbotsford Branch) is looking for an administrator to run the Abbotsford Music Festival.
The successful candidate would be employed for a 9 month contract at $1000/month. (October to June). The hours vary greatly, from less than 10 hours/month to 60 hours in May.
Main Responsibilities:
- prepare syllabus
- secure adjudicators
- process entries – payment, checking accuracy,
- collecting trophies
- prepare program
- prepare for festival week – secure venue, arrange piano tuning, volunteers
- run festival week – make sure all is running smoothly

The administrator must be familiar with Zoom, Word, Excel files etc
In addition, the administrator must have a music background, and have experience in an administrative role, or in running a music festival.
The administrator would be supervised by a committee from the BCRMTA (Abbotsford) and would have a monthly check-in with that committee.

OCTOBER:
Prepare Syllabus, make adjustments, discuss fees, confirm jobs/responsibilities, fundraising, etc. Confirm dates for festival.
Secure venues and adjudicators: confirm with letters
NOVEMBER:
Arrange for pianos. Syllabus on-line.
JANUARY:
Get adjudicators bios and pics. Promote festival, article to news, email teachers, music schools.
FEBRUARY:
Collect registrations, deposit registration fees, sponsorship/ad sales (Registrations will be sent in an excel file with all information needed)
MARCH:
Prepare classes and arrange
Contact mayor re honors concert/confirm MC for Honors Concert:
Contact award presenters
Contact refreshment providers and trade for advertising
Make list of single entries (if rule applies)
APRIL:
Prepare classes and arrange schedules often this has shifted to March
Crosscheck registrations to the master list
Proofreading
Trophies returned and cleaned (2022 - this will be done in January)
Organize volunteers/ribbons/
Program finalized. Program “on-line”
Send schedules to adjudicators
MAY:
Organize venue/confirm volunteers/signage /decorations/
CONFIRM PIANOS
LETTERS WITH DIRECTIONS to adjudicators
Arrange award winners and concert performances
Type program for concert
Type sheet of award winners for concert night presenting
Honors Concert: set up and clean up
WEEK OF FESTIVAL: daily: monitor venue, adjudicators, assistants, door person, any cancellations?
JUNE:
Thank you letters to adjudicators and wrap up of paperwork.
Collect thank you letter from student winners, debrief meeting.
